Programs and Administrative Manager

CIANA is looking for a Programs and Administrative Manager who is organized, flexible, and a people person. The Manager is a critical part of CIANA’s leadership team, making sure that the office stays clean, organized, and well-stocked, running and managing CIANA’s educational programs for adults and children, and supervising volunteers and interns.

 

The Center for the Integration & Advancement of New Americans (CIANA) is a social services organization that works to integrate new immigrants from South Asia, the Middle East, North Africa, and Latin America into the socio-economic and civic life of American society while maintaining pride in their cultural heritage.

 

Requirements & Qualifications

  • BA degree or equivalent in Education, Nonprofit Program Management, Business Administration, or related fields

  • Experience with teaching, administration, office management, and supervising

  • Excellent communication and multi-tasking skills

  • Experience in the following preferred:

    • Early childhood education

    • ESL

    • Data entry

  • Non-profit experience is a plus

  • Proficiency in Arabic, Bangla, Spanish, or other languages is a plus

 

Position Duties

Programs

  • Liaise with parents and tutors for CIANA’s elementary after school tutoring program

  • Coordinate elementary after school tutoring program

  • Maintain and submit records and forms for SONYC middle school program

  • Assist ESL and civics teachers with printing and creating materials needed for classes

  • Recruit students for all programs

  • Record and organize new student records and exams

 

Management

  • Act as the point person for logistics between programs, program staff and volunteers, and everyday operations

  • Recruit, train, and supervise volunteers and interns across programs

  • Record volunteer hours and maintain communication with supervisors outside of CIANA

  • Maintain and file attendance records in CIANA’s database

  • Communicate with CIANA’s coalition and community partners

 

Other duties

  • Tutor for elementary after school tutoring program as needed

  • Clean and organize office

SONYC After School Program Group Leader - Part Time

Job Summary

CIANA is seeking a part time Group Leader for its SONYC After School Program. The part-time (Monday-Friday 3pm-6:30pm) Group Leader is responsible for the supervision, management and safety of children. He/she will be responsible for directing and teaching activities, in addition to executing daily lesson plans. He/she will be supervising program participants, behavior management and program development. The Group Leader will work with other staff to provide a program which fosters children’s social, physical, emotional, and mental growth. The Group Leader will report to the program coordinator regarding all development and supervisory needs.

Requirements

  • An Associate degree or equivalent, preferably in a related field;

  • Experience working with Middle School aged youth;

  • Warm, nurturing, and flexible individual who genuinely enjoys working with children and understands the implementation of age-appropriate disciplinary action;

  • Ability to manage multiple tasks, develop solutions to problems, and establish and maintain effective relationships with other staff, students, and their families.

 

Duties

  • Available for at least 17 hours/wk Monday-Friday 3pm-6:30pm

  • Promote the values and mission of CIANA in all interactions with children, parents, staff and school personnel;

  • Oversee and direct the activities of a group of up to 15 students;

  • Recognize and protect children from any hazards that are a threat to their physical safety and their emotional well being;

  • Participate actively with other staff in the planning process and at staff meetings;

  • Become familiar with and able to implement all NY State requirements and emergency procedures;

  • Assist with maintaining the overall condition of the classroom, eating areas, and other program space;

  • Coordinate and facilitate program activities (e.g. games, art, music, homework, etc.)

  • Evaluate situations (e.g. disciplinary problems, hazardous conditions, etc.) for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.

Case Management Intern (UNPAID)

Our Case Management Department is looking for a highly personable, persistent, and detail-oriented Case Management Intern to assist our case manager with client services. CIANA’s Case Management Department provides job assistance, housing assistance, and public benefits application support, as well as referrals to other community and public resources.

Requirements:

  • At least two years of college completed

  • Proficiency in Arabic, Bangla, Spanish, or another language

  • Experience in one or more of the following:

    • Microsoft Office and Google Suite, especially Excel/Sheets

    • Knowledge of public benefits or willingness to learn

    • Researching

    • Organization and filing

    • Counseling or customer service

 

Everyday Duties:

  • Scheduling new appointments and confirming scheduled appointments

  • Managing correspondence between CIANA, clients, and other institutions

  • Completing general intakes for new clients

  • Assisting with case working appointments, especially with interpretation for clients who speak Arabic, Bangla, or another language

  • Maintaining case working client spreadsheet, database, and digital files

  • Organizing and maintaining up-to-date paper files

  • Attending trainings and coalition meetings with case manager and/or clients

  • Accompanying or representing clients at other meetings and appointments

 

Projects:

  • Help fulfill quarterly deliverables to coalitions

  • Develop and execute workshop or coffee talk series relating to the following:

    • Financial literacy

    • Computer literacy

    • Civic participation

    • Affordable housing

    • Employment

    • Healthcare

    • Other

  • Develop and execute trainings in specific service areas

  • Develop collaborative relationships with external case management and outreach programs and/or community-based organizations

Community Outreach Intern

CIANA is looking for a friendly, passionate, and proactive Community Outreach Intern. CIANA’s Community Outreach efforts include assessing and generating awareness of the needs of the immigrant community in Queens, creating and delivering various workshop series in collaboration with our community partners to address these needs, and spreading the word about CIANA’s programs and services to the broader community and local institutions.

 

Requirements:

  • At least two years of college completed

  • Proficiency in Spanish, Arabic, Bengali, or another language

  • Knowledge of Microsoft Office and Google Suite programs

  • Experience with community involvement and/or outreach

  • Public speaking and interpersonal communication skills

  • Keen awareness of immigration news and issues impacting immigrant communities

  • Occasional weekend and evening availability

  • Comfortability with advocacy and mobilization

  • Knowledge of Queens, its immigrant population, and related topics is a huge plus!

 

Everyday Duties:

  • Work alongside each of CIANA’s departments and program staff to generate awareness of CIANA’s services for the community.

  • Increase client engagement in CIANA’s services and programs

  • Brainstorm ideas for potential community events and collaborations

  • Maintain updated contact information for local businesses, places of worship, schools, community organizations, and journalists in our outreach tracker

  • Maintain email and phone correspondence with community partners

  • Coordinate and confirm dates, times, and locations for community events

  • Engage in street canvassing and tabling events

  • Attend periodic coalition meetings with community partners, as well as regular team meetings at CIANA

 

Projects:

  • Create and maintain a community outreach plan

  • Plan and execute community events and know-your-rights workshops regarding community concerns and relevant immigration issues

  • Develop a system of measuring community needs and impact

  • Consolidate workshop materials, blog posts, upcoming events, etc. in a “Resources” page on CIANA’s website

Hours: 10-15 hours per week

Development Intern (UNPAID)

Our Department of Communications and Development is looking for a self-starting Development Intern for Fundraising and Political Outreach who is a strong thinker, writer, and listener with excellent people skills. Chosen interns will work alongside the Development and Communications VISTA to acquire funding from elected officials, plan and execute fundraising campaigns, and foster and maintain relationships with donors.

 

Requirements:

  • At least one year of college completed

  • Studying Communications, Marketing, Design, Journalism, English, Writing, International Relations, Political Science, or a related field

  • Experience in one or more of the following:

    • Planning fundraisers or charity events

    • Applying to and receiving personal scholarships and/or grants for student clubs and/or outside organizations

    • Outreach to and/or developing connections with politicians’ offices

  • Ability to meet strict deadlines, including those on short notice

  • Proficiency in Arabic, Bangla, Spanish, or other languages is a plus

 

Everyday Duties:

Fundraising

  • Research effective strategies for non-profit financial growth

  • Manage donor relations by ensuring donors, local partners, and elected officials receive regular, personalized communications

  • Maintaining correspondence between CIANA and its donors, business partners, and elected officials

  • Draft online content (social media posts, website updates, etc.) to advertise fundraisers

  • Brainstorm ideas for potential fundraising campaigns or events

Political Outreach

  • Research procedures and deadlines for applying for discretionary funding from Queens-based elected officials

  • Foster relationships with local politicians and brainstorm opportunities for collaboration, such as know-your rights workshops and Read-Ins at our After School Tutoring program

  • Maintain a database of politician and community partners’ interests in causes

 

Projects:

  • Plan at least one event with a local politician (Council Member, State Senator, Assembly Member, etc.), such as a know-your-rights workshop

  • Pitch, develop ideas for, plan, and hold Mid-Year Fundraiser

 

Compensation: Unpaid, but may be completed for academic credit

SONYC After School Program Volunteer

Position Summary

CIANA is looking for committed volunteers for its DYCD-funded SONYC After School Program. The program takes place Monday-Friday from 3:00-6:30 PM at a local church near CIANA’s office in Astoria, Queens. The program is targeted to middle school-aged youth in grades 6-8. We are seeking to hire volunteers who will ensure programmatic success. SONYC volunteers will work with the Program Coordinator and Group Leader to provide safe, fun, and curriculum-based programming for NYC youth. Volunteers will receive oversight from the Program Coordinator, who will ensure they are properly trained and monitored in order to create a fun, safe, and educational environment for youth. Volunteers may also participate in field trips and other activities.

 

Responsibilities

Volunteers will take on a number of responsibilities during the program, particularly in the areas of homework help and setting up enrichment activities. Volunteers will:

  • Work with youth for up to one hour during the program time

  • Assist students in the areas of Math, Science, English, Foreign Language, and other core curriculum areas

  • Mentor students and discuss educational and other needs during this time

  • Work with activity specialist or independently to develop and facilitate program activities, which may include cooking, dance, art, photography or other taught youth-based group activities

 

Requirements

  • Experience working or volunteering with middle school aged youth

  • Ability to pass a background check (including fingerprints) and interact with children

  • Be flexible in your duties as a volunteer as they pertain to successful program implementation

  • Must be available during program days and times, and commit to serving the entire semester

Volunteer Tutor (Elementary After School Program)

Our elementary school homework help program is looking for volunteer tutors who love to work with kids and are reliable, friendly, and patient. CIANA offers homework help to immigrant students enrolled in first through fifth grades through an after school program held on Tuesdays and Thursdays from 5:30 to 7:00pm during the school year.

 

Requirements:

  • Completed at least some high school

  • Consistent availability on Tuesday and/or Thursday from 5:00 to 7:00pm

 

Everyday Duties:

  • Helping young students with math, reading, and writing homework

  • Teaching young students manners and to clean up after themselves

  • Encouraging positive development and confidence

 

Compensation: Unpaid

Administrative Assistant Volunteer (UNPAID)

Description:

CIANA is seeking an Administrative/Program Assistant Intern for our Program &Administrative Manager to manage her schedule and the daily operations in the office 3-5 days per week. This is a great opportunity for a college student to gain hands-on experience in the workforce, or for retirees to make a meaningful contribution to a neighborhood organization.

 

Responsibilities:

- Welcome guests to the office and direct them to the appropriate staff member

- Schedule meetings and help maintain our Manager’s calendars

- Conduct general intakes with clients and provide them with information for the service requested (ESL, civics, legal, etc)

- Answer the main phone line, respond to inquiries, and take messages when necessary

- Answer the door

- Return calls to clients when needed

- Maintain inventory of office supplies biweekly

- Enter new clients’ info into our database and Google Platforms

- Maintain copies of documents (intake forms,flyers, assessments, etc)

- Keep common areas presentable for visitors

- Stock copy machine with paper and trouble shooting as needed

 

Qualifications:

- Must have high school diploma or equivalent; some college preferred

- Highly organized and detail-oriented

- Exhibits professional and courteous demeanor and phone etiquette

- Respectful and sensitive to other cultures

- Experience using Google Platforms is strongly preferred

- Fluency in another language (especially Arabic, Spanish, and Bengali) is a big plus!

Working in partnership with the Founder and CEO, the Board of Directors supports CIANA’s growth and provides mission-based leadership and strategic governance.  The Board of Director’s role in CIANA’s fundraising efforts is paramount.  They are expected to assist with the solicitation of contributions and funding from the government, foundations, organizations, and individuals, as well as to make annual gifts that reflect their commitment.
